This Privacy Policy explains how the Emerging Leaders Program (“ELP”, “we”, “us”, “our”) collects, uses, shares, and protects information when you visit our website (the “Site”), including our Home, About, Programs, Contact Us, and Register pages.
By using the Site, you agree to the practices described in this policy. If you do not agree, please do not use the Site.

2. Information We Collect
We collect different information depending on how you use the Site.
a) All visitors
Pages viewed, time on site, browser/device type, and general location, collected automatically through server logs and analytics.
b) Contact Us page
When you use the contact form, we collect:
- Full name and email address.
- Telephone number (optional).
- Who you are contacting us as: university student, prospective learner, registered learner, student leader, mentor, university representative, partner organisation, or other.
- The subject or reason for your enquiry: registration support, programme enquiry, SAFE Clubs enquiry, university enquiry, mentorship enquiry, partnership enquiry, or general enquiry.
- The content of your message.
c) Register page
The registration form asks prospective students for:
- Personal details: full name, date of birth, and gender.
- University details: your university (or its name, if not listed), university registration number (optional), college/faculty/school, programme or course of study, and year of study.
- Residence details: residence type (university hall of residence, private hostel, or off-campus/other), the name of your hall or hostel, and any additional residence details you choose to provide (optional).
- Contact details: email address and telephone number.
- Your confirmation that the information provided is accurate, and your agreement that ELP may use it for registration, programme communication, and learner support.
3. How We Use Your Information
We use the information we collect to:
- Respond to enquiries submitted through the Contact Us page, and direct them to the right part of the ELP team based on your role and subject.
- Process your registration of interest in ELP, verify your eligibility, and connect you with the university, programme, and activities relevant to you.
- Communicate with you about your registration, and about ELP news, events, and updates.
- Provide learner support relevant to your university, programme, and year of study.
- Maintain, secure, and improve the Site, including analysing site usage and troubleshooting issues.
- Meet legal or regulatory obligations.
We do not sell your personal information.
4. Our Legal Basis for Processing
Under the Uganda Data Protection and Privacy Act, 2019, we rely on one or more of the following grounds to process your information:
- Consent: for example, the confirmation and agreement you give when submitting the Register or Contact Us forms.
- Legitimate interest: for example, keeping the Site secure and understanding how it is used.
- Legal obligation: where we are required to retain or disclose information by law.
You may withdraw consent at any time where consent is the basis for processing, without affecting the lawfulness of processing carried out before withdrawal.
5. Who We Share Information With
We may share information with:
- Service providers, such as website hosting, email, and analytics providers, who process data on our behalf under confidentiality and data protection commitments.
- The relevant university contact for your registration, limited to what is needed to confirm and support your participation.
- Regulators or authorities, where required by law.
We do not share your information with third parties for their own independent marketing purposes without your consent.
6. Cookies and Analytics
The Site uses cookies and similar technologies to remember your preferences and understand how visitors use the Site (for example, most-viewed pages), so we can improve content and performance. You can control or disable cookies through your browser settings. Disabling cookies may affect some features of the Site.
7. Data Retention
We retain information only as long as necessary for the purposes described in this policy, or as required by law, after which it is deleted or anonymised.
If your registration is incomplete, unsuccessful, or you do not proceed further, we retain your information for up to 12 months, after which it is deleted.
If your Contact Us enquiry does not lead to further engagement with ELP, we retain your information for up to 12 months, after which it is deleted.
8. Data Security
We take reasonable technical and organisational measures to protect your information, including access controls, secure hosting, and regular backups. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If you become aware of a security issue affecting your information, please contact us immediately using the details in Section 1.
9. International Data Transfers
The Site is hosted on cloud-based infrastructure, which may store or process information outside Uganda. Where your information is transferred to or stored in a country outside Uganda, we will take steps to ensure it receives an equivalent level of protection, consistent with the Uganda Data Protection and Privacy Act, 2019.
10. Children and Minors
The Site is intended for prospective and current university students, who are generally adults. We ask for your date of birth at registration to confirm eligibility to participate. If you believe a child has provided us with personal information without appropriate consent, please contact us so we can review and, where appropriate, remove it.
11. Your Rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Request deletion of your information, where applicable.
- Object to or request restriction of certain processing.
- Withdraw consent at any time, where processing is based on consent.
- Lodge a complaint with the National Information Technology Authority – Uganda (NITA-U) or another competent authority.

12. Links to Other Sites
The Site links to our social media pages. We are not responsible for the privacy practices of those third-party platforms, and we encourage you to review their privacy policies separately.
13. Changes to This Policy
This policy currently covers the Home, About, Programs, Contact Us, and Register pages of the Site. As ELP develops further features—such as a learner portal, community or chat spaces, counselling resources, or a full participant platform—this Privacy Policy will be updated to reflect what those features collect and how that information is used. The “Last updated” date at the top of this page will indicate when the policy was last revised.
